Entering electronic insurance payments

An Electronic Remittance Advice (ERA) is an electronic version of a provider’s Remittance Advice and allows the provider's office to post accounts receivable electronically rather than manually. In Dentrix, you can receive and post electronic insurance payments to the database using an ERA. In Dentrix, you can also view a list of all unprocessed and processed ERAs, select an ERA from a list to view, and post electronic payments and adjustments to corresponding claims in Dentrix. You can post claim payments or adjustments one claim at a time or for all claims included in a single ERA. You can also post ERAs for primary and secondary dental and medical claims.

Note: You should only post an ERA if you have received a check from a payor or a verification of a deposit of funds. If you receive an ERA claim payment for a claim generated from Dentrix that has already been paid or received, you can post that payment as an additional payment to the "received claim," or you can select another claim to apply ERA claim payments or adjustments related to the claim. If you receive an ERA for a claim that is not in the database, a message appears indicating that the claim could not be found. You can then select a different claim to apply the ERA to or set the EOB claim's status to "skipped," so you can process it later.

This feature provides you with the following information for each ERA that you receive: date received, payor name (insurance carrier), payor ID, amount paid, reference number, and eStatus (unprocessed, started, processed, invalid, or not found). A copy of any ERAs is saved to the Document Center in HTML format, and the EOB is optionally attached to each patient and insurance plan on the EOB. Upon the receipt of the first ERA, an ERA document type is created in the Document Center automatically.

Important: To receive and post ERAs, you must first register with eServices for Dentrix. You can start the registration process from the Ledger.
