Setting up providers

In Easy Dental, anyone who provides billable services to patients is considered a provider. Providers appear alphabetically according to their IDs, and usually only provider IDs are displayed and/or printed. Provider names appear in the Select Provider dialog box, on insurance claims, and on pre-treatment estimates. Consider the following when you create provider IDs:

·        You must assign each provider a unique, four-character, alphanumeric ID.

·        You can use codes, such as DDS1, DDS2, HYG1, and so on.

·        Make the first character of the ID alphabetic.

·        Do not use initials or a person’s name.

·        You cannot edit or delete a provider ID.

·        You cannot delete providers, but you can inactivate them.

·        You can create up to 99 providers.

·        Assign IDs so that you can select provider ranges efficiently for reports or statement purposes. Providers are alphabetized by ID.

To set up a provider

1.   In the Patient Banner, click the Settings button.

The Settings dialog box appears.

2.   In the Practice Setup list, click Practice Resource Setup.

The Practice Resources dialog box appears.

3.   Under Provider(s), click New.

The Provider Information dialog box appears.

4.   Do the following:

·        Name – Type the provider's first and last names and middle initial.

·        ID – Type a unique, four-character, alphanumeric ID, such as DDS1, DDS2, HYG1, and so on.

Note: Once you create the provider ID, you cannot edit it.

·        Title – Type the provider's title, such as DDS, DMD, and so on.

·        Speciality – Select the provider's specialty from the list.

·        Address – Type the address of the provider's practice.

·        Phone – Type the phone number of the provider's practice and the provider's extension.

·        Assigned Operatories – Select the operatories that the provider uses most often.

·        E-mail – Type the provider's email address (required for ePrescribe).

·        Class – Select Primary for providers, such as dentists, or Secondary for providers, such as hygienists.

·        CareCredit Merchant ID – Type your CareCredit merchant ID.

·        Insurance Claim Options – Select Print Provider's Signature Using to avoid signing every printed insurance claim, then select “Signature On File” or Provider's Name.

·        Provider ID Setup – Click to change the provider's insurance ID.

·        Electronic Rx User – Click to set up the provider in ePrescribe.

Important: You must enable and set up secure passwords to register for and use ePrescribe.

·        Fee Schedule – Click the search button to select a fee schedule different from your practice's usual fee schedule.

·        SS # – Type the provider's Social Security number.

·        State ID # – Type the provider's state ID number (required for ePrescribe).

·        State – Type the two-digit postal code for the state the provider is licensed in (required for ePrescribe).

·        State License Expiration – Type the expiration date of the provider's state license (required for ePrescribe).

·        TIN # – Type the provider's Taxpayer Identification Number.

Note: The provider name, address, Social Security number, TIN, state ID number, and phone number print on insurance claims. Easy Dental also provides several ID fields for specialized insurance claims. Type the appropriate numbers in the corresponding fields. See Setting up provider IDs  for steps on how to assign multiple insurance IDs to a provider.

·        Medicaid # – Type the provider's Medicaid number.

·        DEA # – Type the provider's Drug ID number (required for ePrescribe).

·        DEA License Expiration – Type the expiration date of the provider's DEA license (required for ePrescribe).

·        DEA Schedule – Select the appropriate schedule (required for ePrescribe).

·        NPI – Type the provider's National Provider Identifier number issued by the Centers for Medicare and Medicaid Services (CMS) (required for ePrescribe).

·        Blue Cross/Shield # – Select Blue Cross or Blue Shield, and then type the appropriate claim ID number.

·        Provider # – Type the provider's provider number.

·        Office # – Type the provider's office number.

·        Medicare # – Type the provider's Medicare number.

·        Other ID # – Type the provider's other insurance ID.

·        UPIN # – Type the provider's unique physician identifier number.

·        Controlled Substance # – Type the provider's controlled substance number.

5.   Click OK.
