Exporting documents

You can export an individual document or multiple documents to your computer's drive, a removable storage device, or a computer or storage device on your office's network.

Note: Exporting documents requires the "Document Center, Export Document" security right.

To export documents

In Document Center, select one or more documents in the document tree.

Note: To select multiple documents, click a document, and then, while pressing the Ctrl key, click the other desired documents. To select a range of adjacent documents, click the first document of the desired range of documents, and then, while pressing the Shift key, click the last document of the desired range of documents.

Do one of the following:

Click the Export Document(s) button on the Document toolbar.

On the File menu, click Export Document(s).

If applicable, do one of the following:

If the Password - Document Center, Export Document dialog box appears, user verification has been assigned to the "Document Center, Export Document" task. Do one of the following:

If your user account has been granted the "Document Center, Export Document" security right, enter your credentials in the User ID and Password boxes, and then click OK.

If your user account has not been granted the "Document Center, Export Document" security right, have a user with permission temporarily override this restriction so you can export the documents this one time. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

If a message appears, informing you that you do not have rights to this operation, your user account has not been granted the "Document Center, Export Document" security right. To have a user with permission temporarily override this restriction so you can export the documents this one time, do the following:

On the message, click Yes.

In the Password - Document Center, Export Document dialog box, the overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

Do one of the following:

If one document is selected in the document tree, the Export Document As dialog box appears. Select the location where you want to save the file being exported, enter a name for the file in the File name box, and then click Save.

Note: The document's file type appears in the Save as type list. You cannot change this.

If multiple documents are selected in the document tree, the Export Documents dialog box appears.

The path to the Documents folder for your Windows user appears in the Export Documents to box by default, but you can change it. All the selected documents will be copied to the specified folder. To specify a different folder to save the files in, do the following:

To change the path in the Export Documents to box, do one of the following:

In the box, enter the correct path.

To select a folder, click Browse. In the Browse for Folder dialog box that appears, select the correct folder, and then click OK.

Click OK.

Note: A document that is of an image file type is saved in the image format that has been set up for exporting and emailing documents. A document that is of any other file type is saved in the original file format. For example, a document that is of the rich text file type is saved as an .rtf file.
