Making appointments for families

You can schedule multiple appointments at one time for some or all of the members of a family.

To schedule appointments for a family

1.   Open the Patient Information Center for a patient who belongs to the family that you want to schedule.

2.   On the General tab, in the Account Summary section, click the Family Scheduling link.

The Family Scheduling dialog box for the family appears.

 

For each patient in the family, his or her treatment plan 0 (the treatment plan accepted by the patient) appears and is separated into appointments/phases.

Note: The next recall and next appointment appear in the Transaction Notes column. Also, if you scroll to the right, any of the patient's future appointments appear in the Future Appointments column.

3.   For each family member you want to schedule an appointment for, do the following:

a.   Select the check box of the phase or individual planned treatments that you want to schedule.

b.   On tab #1, set up any of the following appointment criteria:

·        Date - Enter the starting date for your search.

·        Time - Enter the earliest time on any of the days to be searched that the patient is available.

·        Units - This field is updated automatically according to the treatment selected, but you can change the number of service units you want to search for if necessary.

·        Provider - Select a provider for the appointment.

·        Service - To select a service for the appointment, double-click in the field to paste in that service.

·        Recall Type - To attach a recall type for the appointment, select that recall type.

·        Comments - Type any comments you want to have for your reference during the family scheduling process.

·        Copy this Appointment Search Criteria to All Family Members - Select this check box to use the appointment criteria entered for all the patients for whom you are searching for appointments.

Note: If any of these options are left unspecified but are required for scheduling appointments, the Edit Appointment dialog box will appear when you attempt to schedule an appointment for the patient. You must enter the remaining required information to schedule the appointment at that point.

c.   As needed, filter the search by Location, Appointment Book Configurations, and Chairs.

d.   To schedule multiple appointments for the patient, repeat steps b - c on tabs #2, #3, #4, #5, and #6 as needed.

4.   Click Schedule.

The Family Scheduling dialog box appears.

Note: The Appointment Book opens to the current system date automatically.

5.   For each family member, do any of the following:

·        Click Detail to view the appointment criteria entered in step 3 without going back to the Family Scheduling dialog box.

Note: You cannot make any changes to the criteria from this dialog box.

·        Click Search to view the first available dates and times that match your search criteria.

Do any of the following:

·        Click Next to view the next 20 results of your search.

·        With an appointment selected, click Preview to view the corresponding date in the Appointment Book.

·        Either drag the patient's name to the desired place in the schedule, or with an appointment selected, click Schedule to schedule that appointment for the patient. If the Edit Appointment dialog box appears, enter the appointment details as needed, and then click OK.

·        Navigate to another date in the Appointment Book to manually find an available time slot, drag the patient name from the Family Scheduling dialog box to the desired place in the schedule, enter the appointment details as needed, and then click OK.

·        Click Back to return to the Family Scheduling dialog box to change the search criteria or modify the selected treatment.
