Viewing Time Clock history
You can view a selected employee's Time Clock history. The history shows the total hours worked for each day and each time the employee clocked in and out.
To view an employee’s Time Clock history
1. Right-click the Time Clock icon in the notification area at the far right of the task bar, and then click Employee Clock In/Out.
2. Select the employee whose history you want to view, and then click OK.
The Time Clock dialog box for the selected employee appears.
3. To display the employee’s clock in/out history, click the History tab.
Note: The employee's name whose history you are viewing appears on the title bar.
4. To change the employee, click the User ID search button, select the desired employee, and then click OK.
The columns displayed in the History window are described here:
· Date - The left column displays the date of the associated time punches. The past ten days are displayed by default. You can change the date range viewed by entering the desired range into the From and To date fields or click the down arrows and select the dates from a calendar.
· Note - If a note has been entered manually for that day, “User” appears in a black font. If the note has been added/edited for that day, it displays “User” in a red font. If the note for that day has been deleted, “Del” appears in a red font. If the note is entered automatically in the event that a time is added, edited, or deleted “Auto” appears in a blue font. If a note has never been entered for the day, the cell is blank.
· Total - This column displays the total hours worked for that day.
· In/Out - The In and Out columns display each time the employee clocked in and out. You can use the scroll bar at the bottom of the list to view additional in and out punches that may not appear on the screen.
Note: You may edit the data displayed in the Note, In, or Out cells if necessary (and if you have appropriate password rights).
5. To make changes to the fields, click Edit.
Note:
· The Edit button appears in a darker shade when in Edit mode. Click it again to return to View mode.
· When using passwords, users who have rights to “Time Clock, Edit Punches/Notes” can edit any employee's punches.
· To add or edit a note for a day, click the Note cell to open the Time Clock Note for the selected date. Enter the note and click OK. If you want to delete an existing note, right-click the cell and select Delete Note.
· To add or edit a time, click the desired cell and enter the correct time using the up and down arrows or by typing it in. (Edited times appear in a red font.) To delete a time, right-click the cell and select Delete Time.
· To move to the next cell, press the Tab key.
6. To save the changes you made, click Save.
Note: The Save button is only active if changes have been made. The Print, From and To, and search buttons are disabled until changes have been saved or canceled. Easy Dental appends a note for each change that was made on the edited date, including the user, date, and time the change was made.
7. Click Print to print a Time Punch Report for the selected employee for the date range being displayed.
