Uploading correspondence
Sending correspondence to your patients keeps them informed of their scheduled appointments and Continuing Care deadlines. Correspondence helps you reduce the number of missed appointments in your office and keeps your patients informed of their treatment needs.
You can send appointment reminders and Continuing Care reminders to your patients via letters, postcards, e-mail, or text messages.
When you run WebSync, all correspondence is sent to all patients who meet the correspondence criteria. When you upload correspondence, you can exclude certain patients from the upload or only upload certain correspondence types.
To upload correspondence
1. In the EasyWeb toolbar, click Settings, and then click WebSync Wizard.
2. Click Correspondence to set up your correspondence.
Note: To learn more, click Uploading correspondence.
3. From the EasyWeb toolbar, click EasyWeb Sync, and then click Correspondence Upload.
The Select Correspondence(s) to Upload dialog box appears.
4. From the list, select the correspondence types that you want to upload.
· To select all correspondence types, click Select All.
Note: Appointments for text message reminders along with the other correspondence upload by default.
· To exclude appointments for text message reminders from the upload, clear Upload Appointments for Text Message Reminders.
· Once you have selected the correspondence types that you want to upload, click Upload.
The EasyWeb Upload List - Correspondence Upload dialog box appears.
Note: The EasyWeb Upload List - Correspondence Upload dialog box is automatically populated with the patients for whom correspondence will be uploaded.
5. To remove any patients from this list, select the patient, and then click Remove Patient(s) from Upload List.
EasyWeb removes the selected patients.
6. When only the patients whom you want to upload correspondence for remain in the list, click Upload.
EasyWeb uploads the appropriate correspondence for the patients. E-mail and text messages are sent to patients when the correspondence is uploaded. When the upload is finished, a message appears indicating the outcome of the upload.
Note: You can run the upload as many times as necessary. Easy Dental will not send duplicate correspondence to the same patient regarding the same appointment.
