Previewing reports

You can preview one or more reports before printing them. You can preview one or two pages at a time, zoom to change the scale of the display to see more of the overall page or to see more detail, and easily navigate between reports and pages of the current report.

While you are previewing a report, the report is displayed as close to the printed format as possible. If a billing statement or insurance claim, which can also print form lines along with text, is displayed, the lines of that form are displayed as well.

Also, you can add reports to a current preview session.

Note: Previewing reports that are in the Batch Processor requires the "Reports" and "Batch Processor, Print/Display Reports" security rights. Also, previewing reports that have been generated in clinics other than the one that you are logged in to requires the "Office, Report Multiple Clinics" security right.

To preview reports

In Office Manager, do one of the following:

Select the reports that you want to preview, and then click the Print Preview button on the toolbar.

Note: This button is available only if your user account has been granted the "Reports" security right.

Select the reports that you want to preview, expand the File menu, and then click Print Preview.

Note: This option is available only if your user account has been granted the "Reports" security right.

Double-click a specific report.

Select the reports that you want to preview. Press the Enter key.

Notes:

To select multiple reports, click a report, and then, while holding down the Shift or Ctrl key, click the other desired reports.

To deselect all selected reports in the Batch Processor, do one of the following:

Click the Refresh/Clear Selection button on the toolbar.

On the File menu, click Clear.

If reports that have been generated in multiple clinics are selected, the "Office, Report Multiple Clinics" security right is required.

If applicable, do one of the following:

If the Password - Batch Processor, Print/Display Reports dialog box appears, user verification has been assigned to the "Batch Processor, Print/Display Reports" task. Do one of the following:

If your user account has been granted the "Batch Processor, Print/Display Reports" security right, enter your credentials in the User ID and Password boxes, and then click OK.

If your user account has not been granted the "Batch Processor, Print/Display Reports" security right, have a user with permission temporarily override this restriction so you can preview reports this one time. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

If a message appears, informing you that you do not have rights to this operation, your user account has not been granted the "Batch Processor, Print/Display Reports" security right. To have a user with permission temporarily override this restriction so you can preview reports this one time, do the following:

On the message, click Yes.

In the Password - Batch Processor, Print/Display Reports dialog box, the overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

The Dentrix Print Preview window appears.

Do any of the following as needed:

To switch between viewing one or two pages at a time, do any of the following:

If the To View Two Pages button is available on the toolbar, one page at a time can be displayed. To allow two pages at a time to be displayed (side by side), click this button.

Note: If you are viewing a report with only one page, or if you are viewing the last page of a report with an odd number of pages, only one page is displayed.

On the Options menu, if the View One Page option has a check mark next to it, one page at a time can be displayed. To allow two pages at a time to be displayed (side by side), click View Two Pages.

Note: If you are viewing a report with only one page, or if you are viewing the last page of a report with an odd number of pages, only one page is displayed.

If the To View One Page button is available on the toolbar, two pages at a time can be displayed. To allow one page at a time to be displayed, click this button.

On the Options menu, if the View Two Pages option has a check mark next to it, two pages at a time can be displayed. To allow one page at a time to be displayed, click View One Page.

If there are multiple reports in the preview session, do any of the following:

To navigate to any report in the preview session, select a report from the list on the toolbar.

If the displayed report is not the first one in the preview session, and if you are viewing the first page/pages of that report, to navigate to the previous report, click the Previous Report button on the toolbar.

Note: This button is not available if you are viewing the first page/pages of the first report in the preview session. This button is the Previous Page button if you are not viewing the first page/pages of the displayed report.

If the displayed report is not the last one in the preview session, and if you are viewing the last page/pages of that report, to navigate to the next report, click the Next Report button on the toolbar.

Note: This button is not available if you are viewing the last page/pages of the last report in the preview session. This button is the Next Page button if you are not viewing the last page/pages of the displayed report.

If the displayed report has multiple pages, to navigate between the pages of that report, do any of the following:

If you are not viewing the first page/pages of a report, to navigate to the previous page/pages, click the Previous Page button on the toolbar.

Note: This button is not available if you are viewing the first page/pages of the first report in the preview session. This button is the Previous Report button if you are viewing the first page/pages of a report that is not the first report in the preview session.

If you are not viewing the last page/pages of a report, to navigate to the next page/pages, click the Next Page button on the toolbar.

Note: This button is not available if you are viewing the last page/pages of the last report in the preview session. This button is the Next Report button if you are viewing the last page/pages of a report that is not the last report in the preview session.

To change the magnification, do one any of the following:

Click the up and down arrows of the Zoom box on the toolbar to change the percentage.

On the Options menu, point to Zoom, and then click one of the following percentage options: 10%, 20%, 30%, 40%, 50%, 60%, 70%, 80%, 90%, 100%, 150%, or 200%.

With your pointer positioned over the report, the pointer becomes a magnifying glass . Do any of the following:

If the magnification is not 100%, click a page of the report to view the report at 100% magnification.

If the magnification is 100%, and if you have not changed the magnification previously during this preview session, click a page of the report to view the report at 30% magnification.

If the magnification is 100%, and if you have changed the magnification previously during this preview session, click a page of the report to view the report at that previous magnification.

To view the report at 10% magnification, on the Options menu, click Default Page Size.

To view the report at 100% magnification, on the Options menu, click Full Page Size.

To add reports to or replace the reports in the current preview session, do the following:

With the Dentrix Print Preview window still open, return to the Batch Processor, and repeat steps 1-2.

A message box appears.

Click one of the following buttons:

Add - To add the selected reports from the Batch Processor to the current preview session. The selected reports will be added after the existing reports in the session.

Replace - To end the current preview session and start a new session with the selected reports from the Batch Processor.

To refresh the reports in the preview session, on the File menu, click Refresh.

To save the current magnification setting, the page view setting (whether one or two pages are displayed), and the size and position of the window for the next time that you open the Dentrix Print Preview window, expand the Options menu, and if the Save Defaults on Exit option does not have a check mark next to it, click Save Defaults on Exit.

Note: Whether there is or is not a check mark next to the Save Defaults on Exit option persists for all future preview sessions or until you click the Save Defaults on Exit option to remove the check mark.

Print either the displayed report or all reports in the preview session.

To close the Dentrix Print Preview window, do one of the following:

Click the Exit button on the toolbar.

Click the Close button (X icon) in the upper-right corner.

On the File menu, click Exit.

Note: In the Batch Processor, a previewed report has a Displayed status, and a printed report has a Printed status. Statuses appear in the Status column.
