Locating existing appointments

Dentrix Enterprise provides several options for finding existing appointments for patients of record and new patients.

To locate an existing appointment (patient of record)

Use the Locate Existing Appointment option:

In Appointment Book, do one of the following:

On the toolbar, click the Locate Appointment button .

On the File menu, click Locate Existing Appointment.

The Select Patient dialog box appears.

Do any of the following:

On the Search By tab, do the following:

Search for the patient.

Do one of the following:

Double-click the correct patient.

Select the correct patient, and then click OK.

On the Appointments tab, locate the patient's appointment for a specified date, and then double-click that appointment.

The Appointments for dialog box appears and lists the patient's appointments.

Notes:

Under Clinic, by default, the Current option is selected, so the patient's pending and past appointments in the clinic that is assigned to the view that is currently in use in Appointment Book appear in the list. To view the patient's pending and past appointments in any clinic select the All option. The patient's unscheduled appointments, which are not associated with a clinic, appear in the list regardless of the option selected.

With an appointment selected, to go to the appointment in Appointment Book, click Locate appt.

With an appointment selected, to view or edit the appointment information, click Edit appt.

Interact with an appointment:

Do one of the following:

With a patient's appointment selected in Appointment Book, right-click that appointment, and then click Other Appointments.

In Appointment Book, while you are scheduling an appointment, in the New Appointment Information dialog box, click Other Appt(s).

In Appointment Book, while you are editing an appointment, in the Appointment Information dialog box, click Other Appt(s).

If applicable, do one of the following:

If the Password - Family Appointment List, Open dialog box appears, user verification has been assigned to the "Family Appointment List, Open" task. Do one of the following:

If your user account has been granted the "Family Appointment List, Open" security right, enter your credentials in the User ID and Password boxes, and then click OK.

If your user account has not been granted the "Family Appointment List, Open" security right, have a user with permission temporarily override this restriction so you can view the Family Appointment List this one time. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

If a message appears, informing you that you do not have rights to this operation, your user account has not been granted the "Family Appointment List, Open" security right. To have a user with permission temporarily override this restriction so you can view the Family Appointment List this one time, do the following:

On the message, click Yes.

In the Password - Family Appointment List, Open dialog box, the overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

The Family Appointment List dialog box appears.

Notes:

To switch between family members, select a different family member in the top list.

To view appointments for all family members at the same time, click Select All.

To go to an appointment in Appointment Book, select it, and then click View Appt. Be aware that unsaved changes for the current appointment will be lost.

To create a new appointment, select a family member, click Create New Appt to open the New Appointment Information dialog box, enter the appointment's details, and then click OK.

Accessing the Family Appointment List requires the "Family Appointment List, Open" security right.

Use Treatment Planner:

With a patient selected in Treatment Planner, from the Options menu, click Other Appointments.

If applicable, do one of the following:

If the Password - Family Appointment List, Open dialog box appears, user verification has been assigned to the "Family Appointment List, Open" task. Do one of the following:

If your user account has been granted the "Family Appointment List, Open" security right, enter your credentials in the User ID and Password boxes, and then click OK.

If your user account has not been granted the "Family Appointment List, Open" security right, have a user with permission temporarily override this restriction so you can view the Family Appointment List this one time. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

Use the More Information window - With the More Information window for a patient open, do any of the following:

On the Summary tab, locate a pending appointment in the Next Appointments list.

Note: To view an appointment, select it, and then click the Locate Appointment button .

On the Appointments tab, locate an appointment in the list.

Notes:

To view past appointments, make sure that the Hide Past Appointments checkbox is clear.

To view unscheduled appointments, make sure that the Hide Unscheduled Appointments checkbox is clear.

To view an appointment, select it, and then click the Locate Appointment button .

In the Family section, to switch between family members in the More Information window, double-click a family member, and then locate that patient's appointments on the Summary and Appointments tab.

To locate an existing appointment (new patient)

In Appointment Book, do one of the following:

On the toolbar, click the Locate Appointment button .

From the File menu, click Locate Existing Appointment.

The Select Patient dialog box appears.

On the Search By tab, search for the patient.

Note: If "NP-" precedes the last name of the patient in the results list, he or she is a new patient. The patient has a new-patient appointment but does not have a Family File record.

Double-click the patient's name.

The Appointments for dialog box appears and displays the patient's appointment.

Notes:

Under Clinic, by default, the Current option is selected. If the patient's appointment is not scheduled in the clinic that is assigned to the view that is currently in use in Appointment Book, select the All option.

With the appointment selected, to go to the appointment in Appointment Book, click Locate appt.

With the appointment selected, to view or edit the appointment information, click Edit appt.
