Appointment Book View printout

The Appointment Book View printout displays a graphical representation of your daily appointment schedule.

Why:

To print daily appointments by appointment view and to have printouts of the schedule to hang up in operatories

When:

Daily, or as needed

Note: Printing the Appointment Book View printout requires the "Print Appointment Book Views" security right.

To print Appointment Book View printout

In Appointment Book, on the File menu, click Print Appointment Book View.

If applicable, do one of the following:

If the Password - Print Appointment Book Views dialog box appears, user verification has been assigned to the "Print Appointment Book Views" task. Do one of the following:

If your user account has been granted the "Print Appointment Book Views" security right, enter your credentials in the User ID and Password boxes, and then click OK.

If your user account has not been granted the "Print Appointment Book Views" security right, have a user with permission temporarily override this restriction so you can print the report this one time. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

If a message appears, informing you that you do not have rights to this operation, your user account has not been granted the "Print Appointment Book Views" security right. To have a user with permission temporarily override this restriction so you can print the report this one time, do the following:

On the message, click Yes.

In the Password - Print Appointment Book Views dialog box, the overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

The Select View dialog box appears.

The view currently being used in Appointment Book determines the default settings for the Select View dialog box. For example, if only one operatory and one provider appear in Appointment Book, when you open the Select View dialog box, the default is to include appointments only for that operatory and provider.

If you have print settings saved on this computer, click Load Print View to apply those saved settings.

Note: Saved print settings do not include provider or operatory selections.

Set up any of the following options as needed:

Select Provider(s) - Select the providers that you want to include on the report. You can select up to 10 providers at one time.

Select Op(s) - Select the operatories that you want include on the report. You can select up to 10 operatories at one time.

Date - By default, Dentrix Enterprise uses the current date as the date the schedule is printed for, but you can change the date. Do one of the following:

In the Date box, enter a date.

Click the Date search button to open the Select Date dialog box, select a date, and then click OK.

Appointment Display Info - Depending on the length of an appointment, up to nine lines of information can appear on the face of an appointment. You can customize and prioritize the text lines for each appointment. For each Line, select the item you want to display on that line:

[None] - No information.

Name - The patient's name. Typically, this item is assigned to the first position.

Appt Reason - The reason for the appointment.

Tip: If you frequently schedule several different procedures for an appointment, you can use the appointment reason for two or three adjacent lines. That way, if the description will not fit on one line, it will wrap to the next line. This wrap ability is available only for the appointment reason.

Phone - The patient's home phone number.

Provider - The provider ID.

Amount - The production amount for the appointment.

Appt Type - The appointment type (High Production, Medium Production, and so forth).

Staff -The staff member assigned to the appointment.

Work Phone - The patient's work phone number.

Pref. Name - The patient's preferred name. You can use this option instead of the name option to leave the line blank if the patient does not have a preferred name.

Chart Num - The patient's chart number.

Operator - The ID of the user who is logged in when the appointment is made.

Pri Elig Date - The date of the last verification of eligibility for coverage under the patient's primary insurance plan.

Sec Elig Date - The date of the last verification of eligibility for coverage under the patient's secondary insurance plan.

DOB - age - The patient's birth date and age.

Note: Typically, most appointments display two to four lines of information. When selecting information to display, assign the most important items to the top-most lines.

Print Amount - To print the scheduled production amount for the day, select this checkbox.

Print Appt Colors - If you are using a color printer and do not want the report to print in grayscale, select this checkbox.

Print Day Note - To print the Appointment Book day note for the date being printed, select this checkbox.

Print Perfect Day - To print the Perfect Day Scheduling time blocks, select this checkbox.

Print Time at Right - To include the time bar on the right side of the appointments in addition to the time bar along the left side, select this checkbox.

Time View - In the Start Hr box, enter the earliest hour to print, and then select AM or PM from the corresponding list. In the End Hr box, enter the latest hour to print, and then select AM or PM from the corresponding list.

Note: Depending on the length of your day, some of your later hours may print on a second page. However, the you can modify the report font size to fit an entire day's schedule on one page.

To save the current settings, except for the provider and operatory selections, for the next time you print the Appointment Book View Report, click Save Print View. You can save only one set of print options per computer.

Do one of the following:

To send the report to the default printer for Office Manager, click Print.

To send the report to the Batch Processor in Office Manager, click Batch.

Important information this report provides

Appointments - The appointments in each operatory of the view.

Day Note - The note for the day, which can be entered by clicking the Note box in the upper-left corner of the Appointment Book.
