New Patients

The report shows an analysis of new patients scheduled to be seen at the practice.

New Patients are identified according to the following criteria:

·        A new patient with a new patient (NP) appointment for a given date or date range.

·        A patient with an appointment and a First Visit Date in the Family File for a given date or date range (a patient’s first visit date and appointment date do not have to be the same).

·        A patient with an appointment for a given date or date range but no First Visit Date (the field is blank) in the Family File.

Today is the date the report is based on and can be changed.

Tomorrow is the next day, relative to Today, that the office is open (according to the practice setup and the practice schedule in the Appointment Book).

Prior Day is the previous day, relative to Today, that the office is open (according to the practice setup and the practice schedule in the Appointment Book).

The # of New Patients Seen is the number of New Patients who had appointments for selected dentists and hygienists. If a patient was seen by more than one provider, that patient is counted only once.

The # of New Patients Scheduled is the number of New Patients who have appointments for selected dentists and hygienists. If a patient is scheduled to see more than one provider, the patient is counted only once.

# of New Patients Seen/Scheduled

The report displays the following # of New Patients Seen/Scheduled statistics:

·        Seen Prior Day – The # of New Patients Seen for the Prior Day. Each patient must have a First Visit Date that is the same as the Prior Day.

·        Scheduled Today – The # of New Patients Scheduled for Today. This includes patients with a new patient appointment for Today, patients who have a First Visit Date that is the same as Today, and patients who do not have a First Visit Date.

·        Seen MTD – The # of New Patients Seen from the beginning of Today’s month to Today. Each patient must have a First Visit Date that falls on a date from the beginning of Today’s month to Today.

·        Scheduled Rem Month – The # of New Patients Scheduled from Tomorrow to the end of Today’s month. This includes patients with a new patient appointment for Today, patients who have a First Visit Date that falls on a date from Tomorrow to the end of Today’s month, patients who do not have a First Visit Date.

·        Total – The sum of the Seen MTD and Scheduled Rem Month.

·        % – This will always be 100%.

# of New Patients Referred BY Patient

The # of New Patients Referred BY Patient is the # of New Patients Seen or # of New Patients Scheduled who have a Referred BY Patient referral in the Family File. (If a patient has multiple referrals, only the first referral entered is used.)

The report displays the following # of New Patients Referred BY Patient statistics:

·        Seen Prior Day – The # of New Patients Referred BY Patient for the Prior Day. Each patient must have a First Visit Date that is the same as the Prior Day.

·        Scheduled Today – The # of New Patients Referred BY Patient for Today. This includes patients with a new patient appointment for Today, patients who have a First Visit Date that is the same as Today, and patients who do not have a First Visit Date.

·        Seen MTD – The # of New Patients Referred BY Patient from the beginning of Today’s month to Today. Each patient must have a First Visit Date that falls on a date from the beginning of Today’s month to Today.

·        Scheduled Rem Month – The # of New Patients Referred BY Patient from Tomorrow to the end of Today’s month. This includes patients with a new patient appointment for Today, patients who have a First Visit Date that falls on a date from Tomorrow to the end of Today’s month, patients who do not have a First Visit Date.

·        Total – The sum of the Seen MTD and Scheduled Rem Month.

·        % – The Total divided by the Total of the Seen Prior Day and Scheduled Today.

# of New Patients Referred BY Doctor/Person

The # of New Patients Referred BY Doctor/Person is the # of New Patients Seen or # of New Patients Scheduled who have a Referred BY Doctor/Person referral in the Family File. (If a patient has multiple referrals, only the first referral entered is used.)

Notes:

·        A Referred BY Doctor/Person referral is a referred by doctor/other referral that has not been flagged as being a non-person (the Non-person check box is not selected).

·        It is important that new patients coming to your practice have the correct referral sources attached to their records for proper reporting purposes.

The report displays the following # of New Patients Referred BY Doctor/Person statistics:

·        Seen Prior Day – The # of New Patients Referred BY Doctor/Person for the Prior Day. Each patient must have a First Visit Date that is the same as the Prior Day.

·        Scheduled Today – The # of New Patients Referred BY Doctor/Person for Today. This includes patients with a new patient appointment for Today, patients who have a First Visit Date that is the same as Today, and patients who do not have a First Visit Date.

·        Seen MTD – The # of New Patients Referred BY Doctor/Person from the beginning of Today’s month to Today. Each patient must have a First Visit Date that falls on a date from the beginning of Today’s month to Today.

·        Scheduled Rem Month – The # of New Patients Referred BY Doctor/Person from Tomorrow to the end of Today’s month. This includes patients with a new patient appointment for Today, patients who have a First Visit Date that falls on a date from Tomorrow to the end of Today’s month, patients who do not have a First Visit Date.

·        Total – The sum of the Seen MTD and Scheduled Rem Month.

·        % – The Total divided by the Total of the Seen Prior Day and Scheduled Today.

# of New Patients Referred BY Marketing (Non-Person)

The # of New Patients Referred BY Marketing is the number of # of New Patients Seen or # of New Patients Scheduled who have a Referred BY Marketing referral in the Family File. (If a patient has multiple referrals, only the first referral entered is used.)

Notes:

·        A Referred BY Marketing referral is a doctor/other referral that has been flagged as a non-person (the Non-person check box is selected).

·        It is important that new patients coming to your practice have the correct referral sources attached to their records for proper reporting purposes.

The report displays the following # of New Patients Referred BY Marketing statistics:

·        Seen Prior Day – The # of New Patients Referred BY Marketing for the Prior Day. Each patient must have a First Visit Date that is the same as the Prior Day.

·        Scheduled Today – The # of New Patients Referred BY Marketing for Today. This includes patients with a new patient appointment for Today, patients who have a First Visit Date that is the same as Today, and patients who do not have a First Visit Date.

This includes patients with a new patient appointment for Today, patients who have a First Visit Date that falls on a date from Tomorrow to the end of Today’s month, patients who do not have a First Visit Date.

·        Total – The sum of the Seen MTD and Scheduled Rem Month.

·        % – The Total divided by the Total of the Seen Prior Day and Scheduled Today.

The # of New Patients Referred BY all is the # of New Patients Seen or # of New Patients Scheduled who have a referral in the Family File. (If a patient has multiple referrals, only the first referral entered is used.)

Notes:

·        These statistics are totals of the patient, doctor/person, and marketing referrals.

·        It is important that new patients coming to your practice have the correct referral sources attached to their records for proper reporting purposes.

The report displays the following # of New Patients Referred BY all statistics:

·        Seen Prior Day – The # of New Patients Referred BY all for the Prior Day who have a First Visit Date that is the same as the Prior Day. Each patient must have a First Visit Date that is the same as the Prior Day.

·        Scheduled Today – The # of New Patients Referred BY all for Today. This includes patients with a new patient appointment for Today, patients who have a First Visit Date that is the same as Today, and patients who do not have a First Visit Date.

·        Seen MTD – The # of New Patients Referred BY all from the beginning of Today’s month to Today. Each patient must have a First Visit Date that falls on a date from the beginning of Today’s month to Today.

·        Scheduled Rem Month – The # of New Patients Referred BY all from Tomorrow to the end of Today’s month. This includes patients with a new patient appointment for Today, patients who have a First Visit Date that falls on a date from Tomorrow to the end of Today’s month, patients who do not have a First Visit Date.

·        Total – The sum of the Seen MTD and Scheduled Rem Month.

·        % – The Total divided by the Total of the Seen Prior Day and Scheduled Today.
