Adding and editing file manager letters
The file manager is a repository of letters, arranged by categories, from which you can create customized letters for patients, referrers, and general dentists. You can add and edit a file manager letter. File manager letters are stored in the letters folder in the dvwin folder.
To add or edit a letter
1. From the Reports menu, click Word Processor.
The Word Processor window appears.
2. From the File menu, click File Manager.
The File Manager Table window appears.
3. Do one of the following:
· To add a letter, click Add.
· To edit an existing letter, select a letter, and then click Edit.
The Edit File Manager Letter Description dialog box appears.
4. Set up the following options:
· Name - Type the name for the letter. This field has a limit of 100 characters.
· Category - Select a letter category.
· Description - Type a description of the purpose and/or importance of the letter.
· Include - Select Label, Envelope, or Neither to specify if you want to include a letter or envelope or neither with the letter.
· Type - Select the type of person to whom the letter is to be sent: Patient, Referrer, or General Dentist (GP).
· Insertable Tables - Set up the following options to allow a table to be inserted into the letter:
· Table - Select a table. Click Delete to clear any previous selection.
· Procedure Codes Excluded From Tables - Click Add to select and paste in the CPT codes that should be excluded from being inserted into tables. To remove a code from the list, select that code, and then click Delete.
· Filter out non-treatment codes (all codes below D1000) - Select this check box to exclude non-treatment codes from being inserted into tables.
· Retrieve list from - Select Last Treatment or Last Visit Date to specify how to get the list of codes.
5. Click OK.
