Making and editing single blocks
Single blocks differ from recurring blocks since they only appear for one day and in one column. Single blocks are user-defined, and you can use them to block out time on the schedule for many reasons, including staff meetings, a provider’s personal appointments, if the provider is attending a one day lecture, or for emergencies.
In blocks are for displaying information regarding what type of appointments to make during the time range of the block, such as emergency procedures. Out blocks prevent appointments from being made during the time range of the block.
To make a new single block (In or Out)
1. In the Appointment Book, navigate to the desired date.
2. Do one of the following:
· Double-click an available time slot in the desired column.
· Click an available starting time slot for the time block in the desired column, and then drag downward until you reach the ending time slot for the block.
· Right-click an available time slot in the desired column, and then click Make.
· To make an appointment over an In block, right-click an available time slot of an In block, and then click Make Appt. Over In Block.
· From the Tools button menu, point to Appointments/Single Blocks, and then click Make.
The Edit Appointment dialog box appears.
2. Select the Block check box.
The name of the dialog box changes to Edit Block.
3. Select In to create an "in" block or Out to create an "out" block.
4. Edit or add the following information for the block:
· Date - The date for which you are making the block appears for your reference.
· Time – If necessary, change the beginning time of the appointment. You can select only an open time from the list.
· Block Name – Type a name for the block, or double-click in the field to select and paste in an appointment service.
· Units – The default number of units is 1 if you double-clicked a time slot to make a block. When you attach an appointment service, the number of units changes to the number of units that were set up for the appointment service. If necessary, change the number of time units required for this block.
· Column – If necessary, change the column the block is in. You can select only an available column from the list.
· Location - The location of the Appointment Book configuration currently being viewed appears for your reference.
· Comments – Type any comments regarding the block. If the pop-up comments setting has been enabled in the Preferences dialog box, comments entered in the Comments field will appear in any pop-up comments.
· Foreground and Background Color – The default foreground and background colors for the block are black and gray, respectively. Or, if an appointment service is attached, the pre-defined colors for that appointment service change the foreground and background colors. However, you can click Foreground and Background to choose different colors.
· AutoRemind - Select this check box to send a reminder, according to the setup of the AutoRemind feature.
5. Use any of the other options to perform additional functions as needed:
· History – To view the created time and date of the block, time and date of the change, and the last change, click this button. This button is available only if you are editing the block and you have made changes the block.
· Get Directions – To open the Get Directions dialog box, click this button. You can enter the address of the source location and destination and then click Get Directions to view driving directions provided by Yahoo! Maps®. You must be connected to the Internet to use this feature.
· Cancel Appt - To delete the block, click this button.
6. Click OK.
