Appointment Book preferences
You can set up the preferences for the Appointment Book.
To set up the preferences
1. From the Utilities menu, click Preferences.
The Preferences dialog box appears.
2. Click the Operation tab, set up any of the following options:
General Operations
· Default provider to no value? - Select this check box if you want to have the lists to select a provider be blank when you are posting transactions and during patient registration.
Locations
· Activate Configuration Filter in Appointment Book - Select this check box if you want to have access to all configurations for all locations in the Appointment Book. If the Activate Configuration Filter in Appointment Book check box is selected, select the Allow user to change filter option check box if you want to allow users to change the configuration filter.
Security
· Single Appointment Book Blocks (non-recurring)
· No creation for security levels < - Enter the security level below which a user cannot create a single block.
· No editing for security levels < - Enter the security level below which a user cannot edit a single block.
· No deleting for security levels < - Enter the security level below which a user cannot delete a single block.
Appointment Book
· Appt. Book Refresh - Enter the interval (in seconds) to have the Appointment Book refresh. 20 seconds is the default value. The value in the box also affects the In-Office window refresh rate.
· Warn when space between appts < - Enter the number of units for which you want to be warned when you schedule an appointment and to set the indicated number of units that are left open between the appointment and an adjacent appointment.
· Keep past appointments -Enter the number of months after which to purge old appointments.
· Show warning when patient is more than - Enter the number of minutes after which you will be warned that patients are late for their appointments. Zero indicates that this feature is disabled.
· Warn if appointing from a different location - Select this check box if you want to be warned when making an appointment, from the location for this computer, that is not the same as the configuration's location.
· Show pop-up comments hovering over appts. - Select this check box if you want to allow pop-up messages to appear with comments regarding an appointment that you position your mouse pointer over.
· Show pop-up pt info hovering over appts. - Select this check box if you want to allow patient information pop-up messages to appear when you position your mouse pointer over an appointment. Note: Turning on this hover window turns off the hover window that displays comments (the Show pop-up comments hovering over appts is cleared automatically); you cannot have both hover windows appear.
· User Defined Status Text - Type the desired text for the custom appointment status. The status will appear at the bottom of the Appointment Book and in the shortcut menu when you right-click an appointment.
· Show on call list when cancelling an appointment - Select this check box if you want to see the on call list each time you cancel a patient appointment
· Display "Show on Appt" in Appointment Service Field - Select this check box to have the Show on Appt check box appear in the Appointment Service field.
· Display (Line 2, Line 3, and Line 4) - For each of the lists, select which appointment information, and in what order to display the appointment information, for the second, third, and fourth lines of appointments: Procedure, Provider, Alerts, Progress Notes Lock; Home/Business Phone #; GP's Name; <Blank>; Comments; or Referrer.
· Show Progress Notes icon on appointment - Select this check box to have appointments in the Appointment Book display a progress notes icon when progress notes exist.
· Display Patient age beside Name - Select this check box to have a patient's age appear next to his or her name on the first line of an appointment scheduled in the Appointment Book.
· Show Goals on this Workstation - Select this check box if you want to be able to view scheduled production and production goals in the Appointment Book at this computer.
· Show Monthly Appointment Stats Tab on this Workstation - Select this check box if you want the Month tab to appear in the bottom left corner in the Appointment Book at this computer.
· Auto-default to RECALL' for new appointments - Select this option if you want the appointment service for new appointments to default to RECALL.
· Open Time Search - You can set the following defaults:
· Default to (number of) months - Set the default number of months within to search for open appointment times.
· Default to (number of) openings - Set the default number of results to list when searching for open appointment times.
· IN blocks = open time - Select this check box to allow open appointment time searches to count In blocks as open time by default.
· Default search to - Select the default search criteria for allowing In blocks to count as open time when searching for open appointment times: Exact match or Approximate.
· Default Location - Select the default location that you want to use when searching for open appointment times: Workstation Location, No Location, or All Locations.
· Show Block Comments - Select this check box if you do not want the name of the block in the Appointment Book to be repeated on each line of the block if the In block is longer than one unit. The block name will appear only on the first line, the first 34 characters of any comments will show on the second line, and any subsequent lines will contain a down arrow.
· Show OUT Block descriptions on first row only - Select this check box to allow "Out" block descriptions to show only on the first line of the block.
· Warn when appointing someone who has created or rescheduled more than (number of) times - Set the number of times that you want to be warned when making appointments for patients or pre-registered patients who have cancelled or rescheduled the indicated number of times. Enter 999 to disable this feature.
· Select Require Manager Access to make appointment if you want to require a manager to enter his or her user name and password when a user attempts to make an appointment.
· Warn when office cancels or reschedules patients more than once in (number of) weeks - Set the number of times upon which you want to be warned when you are making appointments for patients or pre-registered patients who your office has cancelled or rescheduled. Enter zero to disable this feature.
· Editing Existing Appointments - Click the option that corresponds to how you want name changes for existing appointments to be handled: Allow name changes with NO warning, Allow name changes with warning, or Prevent name changes.
· Moving/Copying Appts. by Dragging - Click the option that corresponds to how you want dragging and dropping of existing appointments to be handled: Allow dragging with No warning, Allow dragging with warning, or Prevent dragging.
· Ask to Save Changes when click OK in Edit Appt - Select this option if you want to be prompted to save changes each time you click OK after editing an appointment.
· Schedule according to provider availability system - Select this check box if you want to schedule appointments according to the availability of providers.
· Add patients to Pre-registration table automatically - Select this option if you want new patients to be pre-registered automatically after you make appointments for those new patients.
· Auto change chair provider when rescheduling - Select this option if you want to be prompted to change the provider when rescheduling a patient appointment.
· Warnings for New Appointments - You can set the following options for warnings about patient balances when scheduling appointments:
· Patient Balance aged beyond > (number of) days - Enter the number of days patient balances have aged after which you want to be warned: 30, 60, or 90.
· Insurance Balance aged beyond > (number of) days - Set the number of days insurance balances have aged for patient accounts after which you want to be warned: 30, 60, or 90.
· Show lines to indicate IN blocks under appointments - Select this check box if you want the color of In blocks to show through appointments that are scheduled over In blocks.
· Show lines to indicate OUT blocks under appointments - Select this check box if you want the color of Out blocks to show through appointments that are scheduled over Out blocks.
· Units by Staff - Select this check box if you want to be able to set the provider and assistant times for appointments in the Edit Appointment dialog box. The Units (A/TD/A) boxes will appear in the Edit Appointment dialog box below the Service field, and the Min. A/TD/A Units boxes will appear in the Open Time Search dialog box. Selecting this check box also displays a Scheduled service column and Change button on the Treatment Plans tab. You can click that Change button to select specific appointment services when scheduling.
· Sort Appointment Book Config by Description - Select this check box if you want the Appointment Book Configurations window initially sorted by their descriptions.
· Suppress Automatic Inclusion of Nickname in Comments - Select this check box if you do not want patients' nicknames to be included automatically in the Comments field when making an appointment.
· Patient Name cannot be typed in Edit Appointment - Select this check box if you want to restrict the Patient Name field so a name can be selected only, not typed.
· Show Appointment Book in independent window - Select this option to move the Appointment Book window outside of the main program window by clicking the title bar and dragging it.
3. Click Ok.
