Checking in-office statuses

From the In-Office Status window, you can track patients in your office, from check-in to check-out. You can see where all of your patients are at a glance and the time each patient spends in each area of the office.

To use the In-Office Status window

1.   From the File menu, click In-Office Status.

The In-Office Status window appears.

2.   Select a Location to view the in-office statuses of patients with appointments scheduled in that location. By default, the current location is selected.

3.   Select how you want to Sort appointments that appear in the In-Office Status window: by the appointment time, by the provider, by the patient's last name, or by the appointment status. The default selection is determined by a preference.

4.   Select a patient in the list near the top to view details about that patient in the lower section, such as his or her contact numbers, date of birth, alerts, medical history, allergies, insurance carrier, and account balance.

The patients who are scheduled for the current date are listed with the following information:

·        *Stat. – The status of a patient’s appointment.

·        Name – The patient’s name.

·        Units – The number of units for a patient’s appointment.

·        Treatment – The appointment service selected when a patient’s appointment was made.

·        Appt. Time – The time of an appointment.

·        Prov. – The provider assigned to an appointment.

·        Chair – The chair in which an appointment is scheduled.

·        Checked In – The time when a patient was checked in and his or her status. If the patient is late, the time will flash red (if set up to do so in the Preferences dialog box). The amount of time the patient is in the waiting room is also tracked and will appear in green.

·        Tx. Start – The time that a patient begins treatment.

·        Tx. End – The time that a patient's treatment ended.

·        Phone #/Tx. Time – The patient’s phone number, which is displayed first, then, once the patient has been checked in, the time the patient is in treatment. Once the appointment status is changed to In Treatment, the time will increase each minute the patient spends in the operatory.

·        Comments – The comments on an appointment.

Below the list of scheduled patients for the day, the following statistics appear: number of patients in the waiting room, average time in the waiting room, number of patients in treatment, and average time in treatment.

5.   Perform any of the following tasks:

·        Click Form to view, add, remove, make pending, print, route, or post the selected patient's RapidPost Forms.

·        Click the status button (the top, left-most button of the buttons at the bottom of the window) to change the selected patient's status. The text on the button changes as you change the status, so depending on which patient is selected, the button can be different. As patients progress through different areas of the office the button changes in the following order to indicate what the next stage is: Check-In, X-rays, Cht. Ready, Start Tx., Finish Tx., and Tx. Complete (the button becomes unavailable). You can also change the selected patient's status by right-clicking the patient and clicking a status from the shortcut menu.

·        Click Patient Screen to view the selected patient's Patient Information Center. The Patient Screen button is labeled "Register" if the selected patient as been pre-registered. Click Register to register the pre-registered patient. You can also go to the selected patient's Patient Information Center by right-clicking the patient and clicking Patient Screen from the shortcut menu.

·        Click Dial Home or Dial Work to call the selected patient's home or work phone number, using the automatic dialing system. You can also dial the selected patient's home or work phone number by right-clicking that patient, pointing to Dial, and then clicking Home or Work. A phone must be attached to the modem on the computer from which you are calling to use this feature.

·        From the Go To menu, click one of the following options:

·        Appointment Book – To go to the selected patient’s next appointment in the Appointment Book.

·        General Dentist – To open the profile of the selected patient’s general dentist (in the Edit Referrer dialog box).

·        Click EHR to access the selected patient's electronic health record.

·        Click Post Visit to post charges to the selected patient's account from the Post New Charges dialog box.

·        Click Code Check to track the last time a procedure was performed on a patient.

·        Click Filter to Provider: All to filter the In-Office Status window by a particular provider. The Provider Table window appears from which you can select and paste in the desired provider. The "All" text on the Filter to Provider: button changes to indicate the selected provider. To remove the provider filter, you can select Remove Filter.

·        Click Filter to Status: All to filter the In-Office Status window by a particular appointment confirmation status, which you select in the dialog box that appears. The "All" text on the Filter to Status: button changes to indicate the selected status. To remove the status filter, you can select Remove Filter.

·        Select the Hide Comments check box if you do not want to see appointment comments in the In-Office Status window.
