Setting up Time Clock
You must set up employees individually, including entering their regular pay and overtime pay.
To set up Time Clock for each employee
1. Right-click the Time Clock icon in the notification area at the far right of the task bar and click Setup Time Clock.
The Time Clock Setup dialog box appears.
Note: If passwords are enabled, you must have password access rights to “Time Clock, Setup” to access the Time Clock Setup.
2. Select the employee that you want to set up.
Note: All providers and staff members that have been added in Setting up practice resources appear on the list.
3. Select one of the following options:
· Do Not Use Auto Punch Out - Select this option to require employees to punch out each day. If an employee forgets to punch out, the hours will not be calculated correctly.
· Auto Punch Out Time - Select this option you to set a time to clock out employees automatically. Use the up and down arrows to select the appropriate time or enter it in the Time field. (Auto punches display on the History tab in a blue font.)
4. Select one of the following options:
· Salary (Annual) - Select this option if the employee is paid a salary or an annual amount. Type the annual amount in the Annual Pay Rate field.
· Hourly - Select this option if the employee is paid by the hour. Enter the hourly rate in the Hourly Pay Rate field.
5. Select one of the following options:
· Do Not Calculate Overtime - Select this option if you do not want Easy Dental to calculate overtime hours and wages.
· % of Pay Rate - This option is only available if you select Hourly in step 4. Select this option and enter the desired percentage to have Easy Dental automatically calculate overtime hours and wages. For example, if an employee is paid “time and a half” for overtime hours worked, you would enter 150%. When you use this option, you need to enter the number of hours in the workweek. Easy Dental considers hours worked beyond what is entered overtime.
Note: The percentage of pay rate must be between 100 and 1000. A valid workweek must be between 0 and 168. If you enter an invalid figure in either of these fields, a blinking red arrow appears. This indicator remains until you enter a valid number.
6. If you want the selected employee to be included on reports generated by the Time Clock, select the option at the bottom of this screen.
7. Do one of the following:
· Click OK to save your changes and exit.
· Select another employee to set up.
