Modifying future due payment plans
You can modify future due payment plans to take the place of a payment plan. Modifying a future due payment plan allows you to establish multiple financial agreements for one account. Modifying a future due payment plan also allows you to record an agreed upon monthly payment while keeping the patient’s balance unchanged until payments are made. Finance charges on the balance are calculated each month, and the aging report shows the last payment date and amount.
The number of charges or payments for future due payment plans are calculated monthly. Keep this in mind when you determine the number of charges for a future due payment plan.
To modify a future due payment plan
1. Select the patient you want to modify a future due payment plan for.
2. To post the full amount of the procedure to the account, in the Accounts toolbar, click Future Due Payment Plan.
The Select Payment Plan dialog box appears.
3. Select a provider for the payment plan, and then click OK.
The Create Payment Plan dialog box appears.
4. Do the following:
· Date of Agreement – Change, if necessary.
· First Pay Due Date – Change, if necessary.
· Total Plan Amount – Type the total amount to be paid.
· Down Pay. Charge – Type $0 since you have already posted charges to the account.
· # of Charges – Type the number of monthly charges.
Easy Dental calculates the charge amount automatically and enters it in the Charge Amount field.
· Charge Amount – Type the charge or payment amount.
Easy Dental calculates the number of charges automatically and enters it in the # of Charges field.
· Auto Ins Claim – Clear since you will not post additional charges to the account other than finance or late charges.
· Auto Charge – Clear since you will not post additional charges to the account other than finance or late charges.
5. To add detail or clarification for the payment plan, type the information in the Note field.
6. To provide the patient with a payment/coupon book, select Print Payment Book.
7. To accept the payment plan, click OK.
The payment book is generated and sent to the Batch Processor.
Note: The monthly payment amount and due date appear on the bottom right side of the Accounts window in the Account Details view. Because Easy Dental has already charged the full amount to the patient’s account, the remaining balance will not change for the duration of the payment plan. Instead, the patient’s balance reduces gradually. When the patient’s balance reaches $0.00, clear the payment plan.
