With Suspended Credits Manager, you can apply suspended credits to charges without having to open each patient's ledger one at a time. Suspended Credits Manager makes it possible for you to manage suspended credits for all patients from a central area of Dentrix Enterprise.
Notes:
You can apply suspended credits that are associated with a specific patient's account in Ledger without using the Suspended Credits Manager.
Accessing Suspended Credits Manager requires the "Suspended Credits Manager, Open" security right. Applying a suspended credit to a payment requires the " Guarantor Payment, Edit" security right.
To apply suspended credits
Do one of the following:
Click the Suspended Credits Manager button on the toolbar of one of the following modules:
Office Manager or Ledger:
DXOne Reporting:
In Office Manager, Ledger, or DXOne Reporting, on the File menu, click Suspended Credits Manager.
If applicable, do one of the following:
If the Password - Suspended Credits Manager, Open dialog box appears, user verification has been assigned to the "Suspended Credits Manager, Open" task. Do one of the following:
If your user account has been granted the "Suspended Credits Manager, Open" security right, enter your credentials in the User ID and Password boxes, and then click OK.
If your user account has not been granted the "Suspended Credits Manager, Open" security right, have a user with permission temporarily override this restriction so you can access Suspended Credits Manager this one time. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.
If a message appears, informing you that you do not have rights to this operation, your user account has not been granted the "Suspended Credits Manager, Open" security right. To have a user with permission temporarily override this restriction so you can access Suspended Credits Manager this one time, do the following:
On the message, click Yes.
In the Password - Suspended Credits Manager, Open dialog box, the overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.
Suspended Credits Manager opens.
Note: You can click a patient's Name (which appears as a link) to open that patient's More Information window.
Set up the following filters as needed to filter the list of payments that have a remaining guarantor portion:
Clinics - By default, the list includes payments whose collecting clinic is the clinic that you are currently logged in to. To filter the list by clinic, do one of the following:
To include payments with any collecting clinic, select the All checkbox.
To include payments with specific collecting clinics, do the following.
Click the search button .
The Select Clinics dialog box appears.
Note: If your user account has been granted the "View All Patients" security right for the Central clinic, all clinics appear in the upper list; otherwise, the clinics for which your user account has been granted the "My Clinics, View" security right (in the "Practice/Clinic Setup" category) appear in the upper list; however, if your user account has not been granted that right to any clinic, only the clinic that you are currently logged in to appears in the upper list.
In the upper list, select one or more clinics.
Note: To select multiple clinics, click a clinic, and then, while pressing the Ctrl key, click the other desired clinics. To select a range of adjacent clinics, click the first clinic of the desired range of clinics, and then, while pressing the Shift key, click the last clinic of the desired range of clinics.
Click Add to Selected Clinics.
Repeat steps b-c as needed to add other clinics.
Note: To remove a clinic, select that clinic in the lower list, and then click Remove from Selected Clinics.
Click OK.
Date Range - By default, the list includes payments that were made today. To specify a different date or a date range, do one of the following:
To include payments with a specific date (other than today's date), enter or select the same date for From and To.
To include payments with dates within a specific range of dates, enter or select the starting date of the range for From and the ending date of the range for To.
To change the date for From or To, do one of the following:
To enter a date, do any of the following:
To change the month, click the month portion of the date and then enter a month as a 1-digit or 2-digit number.
To change the day, click the day portion of the date and then enter a day as a 1-digit or 2-digit number.
To change the year, click the year portion of the date and then enter a year as a 2-digit or 4-digit number.
To select a date, do the following:
Click the down-pointing arrow to view a month calendar.
Navigate to the correct month using the left and right arrows.
Note: To quickly change the year and month, click the month-year at the top of the calendar, navigate to the correct year using the left and right arrows, and then click the correct month.
Click the correct day.
Type - From the list, select All to include payments that were entered in Dentrix Enterprise.
To apply the selected filters, or ensure that you have the most recent payments listed, click the Refresh button .
To apply a suspended credit a patient's or family's charges, do the following:
Click an Amount (which appears as a link).
If applicable, do one of the following:
If the Password - Guarantor Payment, Edit dialog box appears, user verification has been assigned to the "Guarantor Payment, Edit" task. Do one of the following:
If your user account has been granted the "Guarantor Payment, Edit" security right, enter your credentials in the User ID and Password boxes, and then click OK.
If your user account has not been granted the "Guarantor Payment, Edit" security right, have a user with permission temporarily override this restriction so you can edit a patient payment this one time. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.
If a message appears, informing you that you do not have rights to this operation, your user account has not been granted the "Guarantor Payment, Edit" security right. To have a user with permission temporarily override this restriction so you can edit a patient payment this one time, do the following:
On the message, click Yes.
In the Password - Guarantor Payment, Edit dialog box, the overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.
The Edit or Delete Payment dialog box appears.
Under Apply to Charges, from the Charges for list, select one of the following options to specify whether the credit can be applied to charges for the family or a specific family member:
Patient/Guarantor Name - To view charges only for that family member.
<Family> - To view charges for the entire family and each family member.
The amount of the payment that is applied to each charge appears in the Applied column. Do any of the following as needed:
To apply a remaining amount, select the desired charges, and then click Apply Remaining. The amount in the Total Remaining box is applied to the selected charges.
Note: To select multiple charges, click a charge, and then, while pressing the Ctrl key, click the other desired charges.
If the amount exceeds the guarantor estimate, a dialog box appears. Select either the Do not apply the remaining amount option (to only apply an amount equal to the guarantor estimate) or the Apply the remaining amount to the balances option (to apply the remaining amount up to the Total Charges; this will probably result in an insurance overpayment), and then click OK.
To remove all the applied amounts, click Remove Applied.
To edit an applied amount, double-click the desired charge to allow editing of the applied amount, enter the correct amount to be applied, and then click the check mark . The applied amount cannot exceed the amount in the Charge column.
If the applied amount exceeds the amount in the Guar Est column (the guarantor estimate), a message appears, explaining that the remaining amount is less than what insurance is expected to pay (this will probably result in an insurance overpayment). Click Yes to continue or No to edit the applied amount.
Click OK/Post.
If the payment has a date in a month that has been closed, and if applicable, do one of the following:
If the Password - Ledger, Backdate to Closed Month dialog box appears, user verification has been assigned to the "Ledger, Backdate to Closed Month" task. Do one of the following:
If your user account has been granted the "Ledger, Backdate to Closed Month" security right, enter your credentials in the User ID and Password boxes, and then click OK.
If your user account has not been granted the "Ledger, Backdate to Closed Month" security right, have a user with permission temporarily override this restriction so you can save a payment with a date in a closed month this one time. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.
If a message appears, informing you that you do not have rights to this operation, your user account has not been granted the "Ledger, Backdate to Closed Month" security right. To have a user with permission temporarily override this restriction so you can save a payment with a date in a closed month this one time, do the following:
On the message, click Yes.
In the Password - Ledger, Backdate to Closed Month dialog box, the overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.
Repeat step 5 as needed to apply other suspended credits.
