Exporting patient data with File Exchange

You can do a mass export of Document Center and C-CDA files.

Note: Accessing File Exchange requires the "File Exchange, Open" security right.

To export patient data

In Office Manager, on the Data Extraction menu, click File Exchange.

Note: This option is available only if your user account has been granted the "File Exchange, Open" security right.

The File Exchange dialog box appears. By default, Patient is selected as the Export Type.

Do any of the following as needed to add patients to the export:

To search for multiple patients, do the following:

To filter the results by clinic, for Clinic, do one of the following:

To include all clinics, leave All selected.

To include specific clinics, do the following:

Click the search button .

The Clinic Selection dialog box appears.

Note: If your user account has been granted the "View All Patients" security right for the Central clinic, all clinics appear in the upper list; otherwise, the clinics for which your user account has been granted the "My Clinics, View" security right (in the "Practice/Clinic Setup" category) appear in the upper list; however, if your user account has not been granted that right to any clinic, only the clinic that you are currently logged in to appears in the upper list.

To search for a clinic by ID and/or practice name, do the following:

Click Search.

Enter the first character or more of a clinic ID and/or practice title in the ClinicID and/or Practice Title boxes, respectively.

Click Show Results to view a list of matching clinics in the upper list.

Note: To return to viewing the list of all the clinics, click Search, click Clear Search to clear the search criteria that you entered, and then click Show Results.

In the upper list, select one or more clinics.

Note: To select multiple clinics, click a clinic, and then, while pressing the Ctrl key, click the other desired clinics. To select a range of adjacent clinics, click the first clinic of the desired range of clinics, and then, while pressing the Shift key, click the last clinic of the desired range of clinics.

Click Add.

Repeat steps ii-iv as needed to add other clinics.

Note: To remove a clinic that you added, select that clinic in the lower list, and then click Remove.

Click OK.

To filter the results by preferred provider (Prov1 in Family File), for Provider, do one of the following:

To include all providers, leave All in the box.

To include specific providers, do the following:

Click the search button .

The Provider Selection dialog box appears.

Note: Only the providers who are associated with the clinics for which your user account has been granted the "My Clinics, Select Provider" security right (in the "Practice/Clinic Setup" category) are available for selection.

To search for a provider by provider ID, first name, last name, and/or title, do the following:

Click Search.

Enter the first character or more of a provider ID, first name, last name, and/or title in the ProviderID, FirstName, LastName, and/or Title boxes, respectively.

Click Show Results to view a list of matching providers.

Note: To return to viewing the list of all the providers, click Search, click Clear Search to clear the search criteria that you entered, and then click Show Results.

In the upper list, select one or more providers.

Note: To select multiple providers, click a provider, and then, while pressing the Ctrl key, click the other desired providers. To select a range of adjacent providers, click the first provider of the desired range of providers, and then, while pressing the Shift key, click the last provider of the desired range of providers.

Click Add.

Repeat steps ii-iv as needed to add other providers.

Note: To remove a provider that you added, select that provider in the lower list, and then click Remove.

Click OK.

To filter the results by visit dates, for Visit date range, do one of the following:

To include all dates, leave the All checkbox selected.

To include a specific range of dates, enter or select the starting date of the range for From and the ending date of the range for To.

To include a specific date, enter or select the same date for From and To.

To include an open-ended range of dates, enter or select a date for either From or To, and leave All entered in the other box.

Note: If you manually enter a date in a m/d/yy format and then press Tab, Dentrix Enterprise automatically changes the date to a m/d/yyyy format.

To select a date for From or To, do the following:

Click the corresponding calendar icon to view a month calendar.

Navigate to the correct month using the left and right arrows.

Note: To quickly change the year and month, click the month-year at the top of the calendar, navigate to the correct year using the left and right arrows, and then click the correct month.

Click the correct day.

Click Search.

The patients found appear in the Patient Search Results list.

Select patients in the Patient Search Results list, and then click the Move Down button . To add all the patients found, click the Move All Down button .

The patients now appear in the Will be exported list.

To search for an individual patient, do the following:

Next to Will be exported, click Select Individual Patient.

The Select Patient dialog box appears.

Search for the correct patient.

Note: For information about all the search options that are available in the Select Patient dialog box, refer to the topic about selecting a patient.

Do one of the following:

Double-click the correct patient in the list of results.

Select the correct patient in the list of results, and then click OK.

The patient now appears in the Will be exported list.

Note: To remove all the selected patients from the export, click the Move All Up button . To remove specific patients from the export, select those patients in the Will be exported list, and then click the Move Up button .

Under Export, select the Now option.

Do one of the following:

Perform a local export - To export a copy of each patient’s C-CDA file to your computer, do the following.

Under Destination, select the Local Export option.

Click the C-CDA search button to select the destination folder where the C-CDA files will be saved.

Next to the C-CDA box, select the correct C-CDA version for the files (v2.1 is the default).

Perform an export to a file exchange site - This export method is available only if you have set up one or more file exchange sites in the Integration Settings. To export a copy of each patient’s C-CDA file or Document Center documents to the folder associated with a file exchange site, do the following.

Under Destination, select the Select File Exchange Site option, and then select a site from the list. The corresponding destination folders for HL7 and either C-CDA or Docs appear for your reference.

Next to the C-CDA box, select the correct C-CDA version for the files (v2.1 is the default).

Under Include data for, set up the following options:

MDM - To include data for MDM messages within a specified date range, select one of the following options: 18 Months (from the past 18 months), All Dates (from any date), Date Range (since a certain date; and then enter or select the desired date for Since), Today (from today).

Doc Center Files - To include documents within a specified date range, select one of the following options: 18 Months (from the past 18 months), All Dates (from any date), Date Range (since a certain date; and then enter or select the desired date for Since), Today (from today).

To change the date in a Since box (which is available only if Date Range is selected for MDM or Doc Center Files), do one of the following:

To enter a date, select the date in the box, press Delete or Backspace, and then enter the correct date (in a m/d/yyyy format).

To select a date, do the following:

Click the corresponding calendar icon to view a month calendar.

Navigate to the correct month using the left and right arrows.

Note: To quickly change the year and month, click the month-year at the top of the calendar, navigate to the correct year using the left and right arrows, and then click the correct month.

Click the correct day.

Click Export.

Do one of the following:

If you are performing a local export, a message that appears, stating that the export was successful. Click OK.

If you are performing an export to a file exchange site, the Create File Group dialog box appears. Enter a name for the file group, and then click OK.

Then, on the message that appears, click OK.

Note: To view the history of file group exports (exports to file exchange sites), click History.
