Viewing family and patient journal entries

Office Journal can display entries for a patient, or Office Journal can display entries for a patient and his or her family members. Also, you can customize what types of entries appear in Office Journal.

Note: Entries for billing statements and entries for payments that are applied to charges for the family appear only if you are viewing the Office Journal entries by family.

To customize the view

In Office Journal, if you are not already viewing entries for a patient, do the following:

On the View menu, click By Patient.

The Select Patient dialog box appears.

In the Enter Last Name box, enter the last name of a patient.

Note: For information about all the search options that are available in the Select Patient dialog box, refer to the topic about selecting a patient.

Do one of the following:

Double-click the correct patient in the list of results.

Select the correct patient in the list of results, and then click OK.

Do one of the following:

Expand the View menu. If the Family option has a check mark next to it, the entries for the family are being displayed. To display entries for the patient who is currently selected in Office Journal (and consequently remove the check mark), click Family.

Expand the View menu. If the Family option does not have a check mark next to it, the entries for the patient who is currently selected in Office Journal are being displayed. To display entries for the family, click Family.

If the tooltip for the button to switch between patient and family entries (the graphic on the button is a group of people and a magnifying glass) is "Patient Journal," the entries for the family are being displayed. To display entries for the patient who is currently selected in Office Journal, click the Patient Journal button on the toolbar.

If the tooltip for the button to switch between patient and family entries (the graphic on the button is a group of people and a magnifying glass) is "Family Journal," the entries for the patient who is currently selected in Office Journal are being displayed. To display entries for the family, click the Family Journal button on the toolbar.

Do one of the following:

Click the View Filters button on the toolbar.

On the View menu, click Filters.

The View Filters dialog box appears.

Set up the following options:

Select Journal Entry Types - Do one of the following:

In the list, select the entry types that you want to include, and deselect the entry types that you do not want to include. The following types are available:

Appointments

Billing Statements

Broken Appointments

Guarantor Payments

HIPAA Privacy

Insurance Payments

Letters

Messages

Miscellaneous

Patient Perio Letter

Payment Agreement Note

Phone Calls

Referral Gratuities

Referral Recaps

Referral Slips

Reminders

To include all entry types, select the All Journal Entry Types checkbox.

Filter By - Select one of the following options:

This Clinic - To include entries for patients in the clinic that you are currently logged in to.

All Clinics - To include entries for patients in all clinics.

Note: This option is available only if your user account has been granted the "View All Patients" security right for the Central clinic.

My Clinics - To include entries for patients in the clinics for which your user account has been granted the "My Clinics, Select Patients" security right.

Note: This option is available only if your user account has been granted the "My Clinics, View" security right in the "Office Journal" category for at least one clinic and if your user account has not been granted the "View All Patients" security right for the Central clinic.

Entries Dated After - Entries with dates that are after the specified date are included. By default, the cut-off date is three months prior to today, but you can enter a different date (in a mm/dd/yyyy format) in the box.

Note: Dentrix Enterprise automatically adds slashes to dates when you enter six or eight numbers (mmddyy or mmddyyyy) and then press the Tab key.

To save the current Select Journal Entry Types and Filter By selections for the next time you open Office Journal for a patient, select the Save as Default checkbox.

Click OK.
