If you float between administrative and clinical roles or work in more than one clinic, you can quickly copy Appointment Book view settings from one user to yourself. Similarly, to save time when creating standardized views for your team, you can copy Appointment Book views from one user to other users in any clinic. Being able to share views is an efficient, valuable setup and maintenance feature of Appointment Book.
Note: If a user does not have at least one Appointment Book view, he or she will not be able to open Appointment Book for his or her assigned clinic. He or she will see the Central clinic's default view only.
To copy a view
In Appointment Book, click View on the menu bar.
The Select View dialog box appears.
Click Manage Views.
The Manage Appointment Views dialog box appears.
Under Provider/Staff User, to select the user who has views that you want to copy, do the following:
Click Select.
The Provider/Staff Selection with Appointment Views dialog box appears.
Do one of the following:
To search for users by all or part of a provider ID, first name, last name, and/or title, enter your search criteria in the ProviderID, FirstName, LastName, and/or Title box, respectively.
Note: To clear any text that you have entered, click Clear Search.
To get a list of all users, do not enter any search criteria.
Click Show Results to view a list of users.
Note: To clear the list so you can search again, click Search.
Select a user.
Click OK.
You are returned to the Manage Appointment Views dialog box. Under Provider/Staff User, the selected user's ID and a list of the clinics in which the selected user has views set up appear.
Select the clinics that you want to copy views from.
In the Available Views list box, the views from the selected clinics appear.
Do one of the following:
To move specific views from the Available Views list box to the Selected Views list box, select the views that you want to move, and then click the Move to Right button .
To move all views from the Available Views list box to the Selected Views list box, click the Move All to Right button .
Note: To move the selected or all views from the Selected Views list box back to the Available Views list box, click the Move to Left button or the Move All to Left button , respectively.
Do one of the following:
To copy the selected views to the users that you specify, do the following:
Click Copy to Other Users.
Note: Copying views to others requires the "Manage Appt Views, Copy To Other Users" security right.
If the Password - Manage Appt Views, Copy To Other Users dialog box appears, user verification has been assigned to the "Manage Appt Views, Copy To Other Users" task. Do one of the following:
If your user account has been granted the "Manage Appt Views, Copy To Other Users" security right, enter your credentials in the User ID and Password boxes, and then click OK.
If your user account has not been granted the "Manage Appt Views, Copy To Other Users" security right, have a user with permission temporarily override this restriction. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.
The Copy Appointment Views from User [ID] to Selected Users dialog box appears.
Note: Under Filter Available Users, you can filter the list of available users to show all users, only users who have appointment views set up in the selected clinics, or only users whose default clinic is one of the selected clinics.
Do one of the following:
To move specific users from the Available Users list box to the Selected Users list box, select the users that you want to move, and then click the Move to Right button .
To move all users from the Available Users list box to the Selected Users list box, click the Move All to Right button .
Note: To move the selected or all users from the Selected Users list box back to the Available Users list box, click the Move to Left button or Move All to Left button , respectively.
Click Copy.
If you are logged in to Dentrix Enterprise, to copy the selected views to yourself, do the following:
Click Copy to Me.
Note: Copying views to yourself requires the "Manage Appt Views, Copy View" security right.
If the Password - Manage Appt Views, Copy To Other Users dialog box appears, user verification has been assigned to the "Manage Appt Views, Copy View" task. Do one of the following:
If your user account has been granted the "Manage Appt Views, Copy View" security right, enter your credentials in the User ID and Password boxes, and then click OK.
If your user account has not been granted the "Manage Appt Views, Copy View" security right, have a user with permission temporarily override this restriction. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.
The Copy Appointment View Summary dialog box appears.
If users have views with the same names and/or shortcut keys as the views that you are copying, do one of the following:
To have the names and shortcut keys of all the conflicting views be overwritten automatically with those from the views that you are copying, click Overwrite All. The Action for each view listed changes to Overwrite.
To not copy any of the conflicting views, select Skip All Conflicts. The Action for each conflicting view listed changes to Skip.
For each conflicting view, select an Action:
Overwrite - To use the name and shortcut key of the view being copied.
Skip - To not copy this view.
Change - To specify a new name and shortcut key for this view. With this option selected, enter a different View Name , and select a different Short-cut for this view.
For each view that you want to be the default view for the corresponding User at the corresponding Clinic, select the corresponding Default View checkbox.
For views with the same Clinic, if the Clinic Copy Permission column contains No (Dbl-Click to Override), your user account has not been granted the applicable security right for that clinic.
To have a user with permission temporarily override this restriction so you can copy the views, do the following:
Double-click in the Clinic Copy Permission box for any of those views.
A message appears, informing you that you do not have rights to this operation.
Click Yes.
One of the following occurs:
If you are copying views to other users, the Manage Appt Views, Copy To Other Users dialog box appears.
If you are copying views to yourself, the Manage Appt Views, Copy View dialog box appears.
The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.
For those views, the text in a Clinic Copy Permission boxes changes to Yes.
The Resolved? column indicates whether each conflict has been resolved or not.
Notes:
If "No" appears in the Resolved? column of any view, even after you have changed the name and shortcut of that view, you may need to press the Tab key or click somewhere else in the dialog box to update the status.
To hide views with a "Yes" in the Resolved? column, select the Hide rows without conflicts checkbox. To return to showing all views, clear the checkbox.
Click Continue.
When the copying process is complete, the Results of Appointment View Copy message box appears. It provides a count of the number of errors, the number of views that were copied successfully, and the number of views that were not copied.
Note: To view the details of any errors and the views that were copied and not copied, click View Log.
Click OK.
