Pinboard

Similar to a real pin board, Appointment Book Pinboard can temporarily store appointment or event information until you can find a new appointment or event time. You can have multiple appointments and events on the Pinboard at any given time.

Note: If the number of appointments and events on the Pinboard exceeds the viewable area of the Pinboard, click the scroll buttons at the bottom of the Pinboard to scroll up and down as needed.

You can perform any of the following tasks with the Pinboard:

Move an individual appointment to the Pinboard

Move an individual event to the Pinboard

Move all appointments on a particular date to the Pinboard

Move appointments for all family members on a particular date to the Pinboard

Move all appointments with a particular provider on a particular date to the Pinboard

Move all appointments in a particular operatory on a particular date to the Pinboard

Remove all appointments from the Pinboard

Remove all events from the Pinboard

Move an individual appointment from the Pinboard to the schedule

Move an individual event from the Pinboard to the schedule


To move an individual appointment to the Pinboard

Do one of the following:

Drag the appointment tile to the Pinboard.

Select the appointment tile, expand the Move to Pinboard menu, and then click Selected Appointment.

Right-click the appointment tile, point to Move to Pinboard, and then click Selected Appointment.

When you are scheduling an appointment for a new patient or existing patient, in the New Appointment Information dialog box, click Pin Board.

Double-click an appointment tile to open the Appointment Information dialog box, and then click Pin Board.

Notes:

An appointment that you drag to the Pinboard remains scheduled at its original date, time, and operatory until you move the appointment to a new date, time, and/or operatory. If you close Appointment Book, or click Refresh from the File menu, any appointment that you have dragged to the Pinboard remains on the Pinboard and remains scheduled at its original date, time, and operatory. That way no appointment information is lost.

Any appointment that you put on the Pinboard without dragging it there does not appear on the schedule; it appears only on the Pinboard, in the Pinboard List window, and in the Unscheduled List window (with a "W/Call" status).

Moving an existing appointment to the Pinboard requires the "Appointments, Edit" security right.

Creating an appointment, which you can move to the Pinboard, requires the "Appointments, Schedule New" security right.

If applicable, do one of the following:

If the Password - Appointments, Edit dialog box appears, user verification has been assigned to the "Appointments, Edit" task. Do one of the following:

If your user account has been granted the "Appointments, Edit" security right, enter your credentials in the User ID and Password boxes, and then click OK.

If your user account has not been granted the "Appointments, Edit" security right, have a user with permission temporarily override this restriction so you can move the appointment this one time. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

If a message appears, informing you that you do not have rights to this operation, your user account has not been granted the "Appointments, Edit" security right. To have a user with permission temporarily override this restriction so you can move the appointment this one time, do the following:

On the message, click Yes.

In the Password - Appointments, Edit dialog box, the overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.


To move an individual event to the Pinboard

Drag the partial-day or all-day event tile to the Pinboard.

Notes:

An event that you drag to the Pinboard remains scheduled at its original date, time, and operatory until you move the event to a new date, time, and/or operatory. If you close Appointment Book, or click Refresh from the File menu, any event that you have dragged to the Pinboard remains on the Pinboard and remains scheduled at its original date, time, and operatory. That way no event information is lost.

Moving an event from the schedule to the Pinboard requires the "Appointment Events, Edit" security right.

If applicable, do one of the following:

If the Password - Appointment Events, Edit dialog box appears, user verification has been assigned to the "Appointment Events, Edit" task. Do one of the following:

If your user account has been granted the "Appointment Events, Edit" security right, enter your credentials in the User ID and Password boxes, and then click OK.

If your user account has not been granted the "Appointment Events, Edit" security right, have a user with permission temporarily override this restriction so you can move the event this one time. If a message appears, informing you that you do not have rights to this operation, your user account has not been granted the "Appointment Events, Edit" security right. To have a user with permission temporarily override this restriction so you can move the event this one time, do the following:

On the message, click Yes.

In the Password - Appointment Events, Edit dialog box, the overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.


To move all appointments on a particular date to the Pinboard

Do one of the following:

With the correct date being viewed, on the Move to Pinboard menu, click All Appts for Displayed Date.

With the correct date being viewed, right-click any appointment tile, point to Move to Pinboard, and then click All Appts for Displayed Date.

Notes:

These options are available only if there is at least one appointment on the displayed date.

Moving appointments on the displayed date to the Pinboard requires the "Appointments, Edit" security right.

If applicable, do one of the following:

If the Password - Appointments, Edit dialog box appears, user verification has been assigned to the "Appointments, Edit" task. Do one of the following:

If your user account has been granted the "Appointments, Edit" security right, enter your credentials in the User ID and Password boxes, and then click OK.

If your user account has not been granted the "Appointments, Edit" security right, have a user with permission temporarily override this restriction so you can move the appointments this one time. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

If a message appears, informing you that you do not have rights to this operation, your user account has not been granted the "Appointments, Edit" security right. To have a user with permission temporarily override this restriction so you can move the appointments this one time, do the following:

On the message, click Yes.

In the Password - Appointments, Edit dialog box, the overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

A dialog box appears, asking what you want to do with the appointments on the schedule.

Select one of the following options:

Move appointments to the Pinboard and keep them scheduled on Appointment Book - The appointments will appear on the schedule and the Pinboard.

Move appointments to the Pinboard and remove them from Appointment Book (they will no longer be scheduled) - The appointments will appear only on the Pinboard, in the Pinboard List window, and in the Unscheduled List window (with a "W/Call" status).

Click OK.


To move appointments for all family members on a particular date to the Pinboard

Do one of the following:

Select the appointment tile for any patient with family members who are also scheduled on the displayed date, expand the Move to Pinboard menu, and then click Family Appts for Displayed Date.

Right-click the appointment tile for any patient with family members who are also scheduled on the displayed date, point to Move to Pinboard, and then click Family Appts for Displayed Date.

Note: Moving a family's appointments to the Pinboard requires the "Appointments, Edit" security right.

If applicable, do one of the following:

If the Password - Appointments, Edit dialog box appears, user verification has been assigned to the "Appointments, Edit" task. Do one of the following:

If your user account has been granted the "Appointments, Edit" security right, enter your credentials in the User ID and Password boxes, and then click OK.

If your user account has not been granted the "Appointments, Edit" security right, have a user with permission temporarily override this restriction so you can move the appointments this one time. A dialog box appears, asking what you want to do with the appointments on the schedule.

Select one of the following options:

Move appointments to the Pinboard and keep them scheduled on Appointment Book - The appointments will appear on the schedule and the Pinboard.

Move appointments to the Pinboard and remove them from Appointment Book (they will no longer be scheduled) - The appointments will appear only on the Pinboard, in the Pinboard List window, and in the Unscheduled List window (with a "W/Call" status).

Click OK.


To move all appointments with a particular provider on a particular date to the Pinboard

Do one of the following:

Select the appointment tile for any patient who is scheduled with the same provider as other patients on the displayed date, expand the Move to Pinboard menu, and then click [Provider]'s Appts for Displayed Date.

Right-click the appointment tile for any patient who is scheduled with the same provider as other patients on the displayed date, point to Move to Pinboard menu, and then click [Provider]'s Appts for Displayed Date.

Note: Moving a provider's appointments to the Pinboard requires the "Appointments, Edit" security right.

If applicable, do one of the following:

If the Password - Appointments, Edit dialog box appears, user verification has been assigned to the "Appointments, Edit" task. Do one of the following:

If your user account has been granted the "Appointments, Edit" security right, enter your credentials in the User ID and Password boxes, and then click OK.

If your user account has not been granted the "Appointments, Edit" security right, have a user with permission temporarily override this restriction so you can move the appointments this one time. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

If a message appears, informing you that you do not have rights to this operation, your user account has not been granted the "Appointments, Edit" security right. To have a user with permission temporarily override this restriction so you can move the appointments this one time, do the following:

On the message, click Yes.

In the Password - Appointments, Edit dialog box, the overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

A dialog box appears, asking what you want to do with the appointments on the schedule.

Select one of the following options:

Move appointments to the Pinboard and keep them scheduled on Appointment Book - The appointments will appear on the schedule and the Pinboard.

Move appointments to the Pinboard and remove them from Appointment Book (they will no longer be scheduled) - The appointments will appear only on the Pinboard, in the Pinboard List window, and in the Unscheduled List window (with a "W/Call" status).

Click OK.


To move all appointments in a particular operatory on a particular date to the Pinboard

Do one of the following:

Select any appointment tile in an operatory, expand the Move to Pinboard menu, and then click Operatory Appts for Displayed Date.

Right-click any appointment tile in an operatory, point to Move to Pinboard menu, and then click Operatory Appts for Displayed Date.

Note: Moving an operatory's appointments to the Pinboard requires the "Appointments, Edit" security right.

If applicable, do one of the following:

If the Password - Appointments, Edit dialog box appears, user verification has been assigned to the "Appointments, Edit" task. Do one of the following:

If your user account has been granted the "Appointments, Edit" security right, enter your credentials in the User ID and Password boxes, and then click OK.

If your user account has not been granted the "Appointments, Edit" security right, have a user with permission temporarily override this restriction so you can move the appointments this one time. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

If a message appears, informing you that you do not have rights to this operation, your user account has not been granted the "Appointments, Edit" security right. To have a user with permission temporarily override this restriction so you can move the appointments this one time, do the following:

On the message, click Yes.

In the Password - Appointments, Edit dialog box, the overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

A dialog box appears, asking what you want to do with the appointments on the schedule.

Select one of the following options:

Move appointments to the Pinboard and keep them scheduled on Appointment Book - The appointments will appear on the schedule and the Pinboard.

Move appointments to the Pinboard and remove them from Appointment Book (they will no longer be scheduled) - The appointments will appear only on the Pinboard, in the Pinboard List window, and in the Unscheduled List window (with a "W/Call" status).

Click OK.


To quickly remove all appointments from the Pinboard

Right-click any appointment icon on the Pinboard, and then click Restore All Pinboard Appointments.

The appointments that had been dragged the Pinboard are restored to their original dates, times, and operatories.

However, if there are appointments on the Pinboard that were not dragged there, a dialog box appears, asking what you want to do with those appointments because they could not be restored.

Select one of the following options:

Keep appointments on the Pinboard - The appointments will remain on the Pinboard.

Move appointments to the Unscheduled List - The appointments will appear only on the Unscheduled List window.

Click OK.


To quickly remove all events from the Pinboard

Right-click any event icon on the Pinboard, and then click Restore All Pinboard Events.

The events that had been dragged the Pinboard are restored to their original dates, times, and operatories.


To quickly move an individual appointment from the Pinboard to the schedule

Navigate to the correct date.

Drag the appointment icon to an open time slot on the schedule.

On the confirmation message that appears, click Yes.

Note: Moving an appointment from the Pinboard to the schedule requires the "Appointments, Edit" security right.

If applicable, do one of the following:

If the Password - Appointments, Edit dialog box appears, user verification has been assigned to the "Appointments, Edit" task. Do one of the following:

If your user account has been granted the "Appointments, Edit" security right, enter your credentials in the User ID and Password boxes, and then click OK.

If your user account has not been granted the "Appointments, Edit" security right, have a user with permission temporarily override this restriction so you can move the appointment this one time. To quickly move an individual event from the Pinboard to the schedule

Navigate to the correct date.

Drag the event icon to an open time slot on the schedule.
