Scheduling events

In Appointment Book, you can schedule events, such as staff meetings, vacations, and activity reminders. You can use an event to block out time or close one or all operatories in Appointment Book so you have a visual reminder that you cannot schedule during that time. An event can be for a single day or be a recurring event for up to one year.

Note: Scheduling events requires the "Appointment Events, Schedule New" security right.

To schedule an event or a series of events

In Appointment Book, navigate to the date that the event will start on.

Do one of the following:

In an operatory, right-click the time that the event will start at and then click Schedule Event.

On the File menu, click Schedule Event.

If applicable, do one of the following:

If the Password - Appointment Events, Schedule New dialog box appears, user verification has been assigned to the "Appointment Events, Schedule New" task. Do one of the following:

If your user account has been granted the "Appointment Events, Schedule New" security right, enter your credentials in the User ID and Password boxes, and then click OK.

If your user account has not been granted the "Appointment Events, Schedule New" security right, have a user with permission temporarily override this restriction so you can schedule an event this one time. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

If a message appears, informing you that you do not have rights to this operation, your user account has not been granted the "Appointment Events, Schedule New" security right. To have a user with permission temporarily override this restriction so you can schedule an event this one time, do the following:

On the message, click Yes.

In the Password - Appointment Events, Schedule New dialog box, the overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

The Schedule Event dialog box appears.

Set up the following options as needed:

Event Time - If you right-clicked the schedule to begin scheduling the event, by default, Dentrix Enterprise inserts the start and end time of the time slot that you right-clicked, but you can change the time range as needed. However, if you used the File menu to begin scheduling the event, the start and end times are blank, so you must enter a time range. Do one of the following:

If the event will last the entire day, select the Close Operatory (All Day Event) checkbox.

Note: For an all-day event, the length is determined by the starting and ending times specified for the operatory that is assigned to the event.

If the event will last only part of the day, specify the time range. To specify a Start and/or End time, do one of the following:

Enter a time in the corresponding box.

Note: You can enter a time using various formats. For example, you can type 8a, 8am, or 8 AM; 1p, 1pm, or 1 PM; 8:30a, 8:30am, or 8:30 AM; or 1:30p, 1:30pm, or 1:30 PM.

To use the time selector, do the following:

Click the corresponding search button .

The Select Time dialog box appears.

Do any of the following:

Drag the slider left or right to decrease or increase the time.

Click the left arrow button to decrease the time one appointment unit at a time (the length is determined by the clinic's time block size).

Click the right arrow button to increase the time one appointment unit at a time (the length is determined by the clinic's time block size).

Click between the slider and the left arrow to decrease the time one hour at a time.

Click between the slider and the right arrow to increase the time one hour at a time.

Click OK.

Event Days - By default, Dentrix Enterprise inserts the date that you are currently viewing, but you can change the date range as needed. Also, all the checkboxes under Select Days of the Week are selected by default, but you can change the days of the week for the event as needed. Do the following as needed:

To specify a Start and/or End date, do one of the following:

Enter a date in the box in a mm/dd/yyyy format.

To use the date selector, do the following:

Click the search button .

The Select Date dialog box appears.

Select the correct date.

Click OK.

Under Select Days of the Week, do any of the following:

Select the checkboxes that correspond to the days of the week (Sun., Mon., Tues., Wed., Thurs., Fri., and/or Sat.) that the event will occur on within the specified date range.

Clear the checkboxes of the days of the week that the event will not occur on. To clear all the checkboxes at the same time so you can quickly change the selections, click Clear All.

Notes:

At least one day of the week must be selected. If the event starts and ends on the same day, select that day of the week.

If you select multiple operatories and/or days for the event, Dentrix Enterprise creates separate events (one per day per operatory) and displays them in Appointment Book. Events that repeat in this manner are referred to as a series.

Operatories - If you right-clicked the schedule to begin scheduling the event, by default, Dentrix Enterprise selects the operatory of the time slot that you right-clicked, but you can change the operatory selection as needed. However, if you used the File menu to begin scheduling the event, the first operatory is selected, but you can change the operatory selection as needed. In the Operatories list, select the operatories that you want to schedule the event in.

Notes:

You cannot schedule an event that overlaps any scheduled appointments or other events in any of the selected operatories. However, you can schedule an event that overlaps with a Perfect Day Scheduling time block.

If you select multiple operatories and/or days for the event, Dentrix Enterprise creates separate events (one per day per operatory) and displays them in Appointment Book. Events that repeat in this manner are referred to as a series.

Description - In the box, enter a description for the event or series. To center the description horizontally at the top of the event block in Appointment Book, select the Center Description on Scheduled Event checkbox; with this checkbox cleared, the description is left aligned.

Event Color - To assign the event a color, do the following:

Click the white button.

The Color dialog box appears.

Note: The text of an event's description  is black, so select a light color that contrasts enough with the black text. For example, it is difficult to read black text on a dark-blue background.

Do one of the following:

To use a basic color as is, under Basic colors, select the desired box.

To define and use a custom color, do the following:

Under Basic colors, select the box of a color that is similar to the one you want to define.

Click Define Custom Colors to expand the dialog box.

Notes:

If you know the specific HSL color values you want, enter them in the Hue, Sat (for saturation), and Lum (for luminosity) boxes.

If you know the specific RGB color values you want, enter them in the Red, Green, and Blue boxes.

Click anywhere on the rainbow swatch, or drag the cross hairs to any location on the rainbow swatch.

Click anywhere on the narrow horizontal luminosity bar, or drag the arrow up or down to brighten or darken the color.

Click Add to Custom Color.

Under Custom colors, select the box of the newly-added color.

Click OK.

Notes - In the box, enter any notes that apply to the event.

Notes:

To check the spelling of the note text, click the Check Spelling button . This button is available only if a certain preference setting is enabled.

To add a date and time stamp to the note where the text cursor is currently positioned in the box, click Insert Dateline.

To insert a blank line or start a new line in the box, while pressing Ctrl, press Enter. Pressing Enter alone closes the Schedule Event dialog box.

Click OK.

If you attempt to schedule a single event that overlaps with an existing appointment or event, a message appears and states that the operatory is already scheduled at the requested time.

The event creation process may take several minutes, depending on the date range specified, the days of the week selected, the number of operatories selected, and the number of future appointments scheduled.

If Dentrix cannot create an event that is part of a series because that event overlaps with an existing appointment or event, a log file appears for your reference.

You can correct the conflicts and then schedule events to match those in the series that you created previously.
