Customizing appointment reasons

To simplify scheduling appointments, you can create a list of up to 20 of the most common initial appointment reasons. Once you have customized the list, you can quickly select the desired procedure rather than typing or writing a long appointment description. You must first set up each of the 20 reasons as a procedure or multi-code. None of the reasons can require additional treatment information, such as a tooth number or surface.

Before an appointment reason will display in the Appointment Book, the definition must meet the following criteria:

·        The reason must reference an existing procedure code or multi-code.

·        The reason must not reference a procedure or multi-code that requires a tooth number, surface, quadrant, or sextant.

To customize appointment reasons

1.   From the Maintenance menu in the Office Manager, point to Practice Setup, and then click Definitions.

The Practice Definitions dialog box appears.

2.   From the Definition Type list, select Appointment Reasons.

The current list of appointment reasons is displayed.

3.   Do one of the following:

·        To add an appointment reason, delete one, type a description and a procedure code in the appropriate fields, and click Add.

·        To change an appointment reason, select the reason that you want to change, type a new description and procedure code, and then click Change. To learn more, click Changing a practice definition.
