Correspondence Upload

Sending correspondence to your patients keeps them informed about their scheduled appointments and continuing care deadlines. Correspondence helps you reduce the number of missed appointments in your office and keeps your patients informed about their treatment needs.

You can send Appointment reminders and Continuing Care reminders to your patients via letters, postcards, email, or text messages.

When you run the WebSync, all correspondence will be sent to all patients who meet the correspondence criteria. When you run a Correspondence Upload, you can exclude certain patients from the upload or only upload certain correspondence types.

To send correspondence to certain patients by running the Correspondence Upload

1.   In the DXWeb toolbar, click WebSync and then in the submenu, click Correspondence Upload.

The Select Correspondence(s) to Upload dialog box appears.

2.   Do the one or more of the following:

·        Select one or more correspondence types from the list.

·        Select the Select All option to upload every correspondence type.

·        Clear Upload Appointments for Text Message Reminders to exclude appointments for text message reminders from the upload.

3.   Click Upload.

The DXWeb Upload List - Correspondence Upload dialog box appears.

4.   To remove a patient from the list, select the patient, and then click Remove Patient(s) from Upload List.

5.   Click Upload.

DXWeb uploads the appropriate correspondence types for the selected patients and sends email and text messages. When the upload finishes, a message appears indicating the outcome of the upload.

Note: You can run the upload as many times as necessary. Dentrix will not send duplicate correspondence to the same patient regarding the same appointment.
