At least once a month, you should perform various practice management tasks to keep your Dentrix database up to date, analyze the health of your business, and stay in touch with your patients. The list of tasks below are recommended; however, you may need to modify this list of tasks or the reports you use to meet the specific needs of your office.
To perform the monthly practice management tasks
1. In the Office Manager, print the Audit Trail Reports.
3. In the Office Manager, purge (delete) employers, referrals, and insurance companies as needed.
4. If any patients need to be deleted or any family relationships need to be edited, edit the family relationships in the Family File.
5. Print the Referred To Doctor Report for a list of patients who were referred to another doctor six months ago to follow up on the patients.
6. In the Office Manager, print the Insurance Claims to Process Reports (formerly known as the Insurance Claims Not Sent Reports) for dental and medical insurance claims.
7. In the Ledger, process or delete the dental and medical claims from the Insurance Claims to Process Reports.
8. In the Office Manager, print the Preauthorizations to Process Report for both dental and medical insurance.
9. In the Ledger, create the dental and medical preauthorization estimates from the Preauthorizations To Process Report.
10. Create and send dental and medical insurance claims for procedures from the Procedures Not Attached To Insurance Report.
11. In the Office Manager, print the Preauthorization Aging Report for dental and medical insurance to follow up on the old pre-treatment estimates.
12. In the Office Manager, print the Birthday List and merge letters to send birthday greetings to patients.
